Attendee FAQ

There are 4 easy ways to register:

If you register online, confirmations are automatically sent out to the email you provided during the registration process. If you sent in a registration form by fax, you should receive an email confirmation within two weeks to the email you provided on the form. In either case, if you did not receive a confirmation, it may have been filtered out by a spam blocker. Please contact (817) 277-7187 if you have any questions or concerns about your registration status.

Some badges will be mailed in advance, but if you don't receive it in the mail, you can pick up your badge at show site at the San Diego Convention Center. For confirmation of your registration you may call (817) 277-7187 or (800) 576-8788.

You must pre-register in order to take advantage of the Early Bird Discount Rates . If you register after the deadline you will be charged the regular rate. See the registration form for prices and deadlines. Pre-registration will also streamline your registration approval and badge pick-up on-site.

Of course! You may purchase any of the passes directly at show site. Please review all registrations policies before making your travel arrangements.

Requests for cancellation must be made in writing prior to May 1, 2018, and will be granted by show management's discretion. A $75 processing fee will be applied. No refunds will be granted under any circumstances after May 1, 2018. Any name changes or transferring of badges may be done upon show management's discretion. Please email changes to [email protected].

You must provide a business card and photo identification on-site for admittance into the conference. We recommend you bring a stack of business cards and a list of your show goals.

This is not recommended. The Government Fleet Conference & Expo is not a family event and can be unsafe for children. Exhibitors and attendees will be looking and getting into the vehicles on the show floor; it is difficult to see small children with the doors closed. Any child who is of walking age will need to purchase a pass at regular price. Stollers are not permitted in the exhibit hall.

Yes, spouses may attend the event. See our registration page for details on purchasing a spouse pass. We will have special packets at the registration counter with suggestions of things to do around San Diego.

The dress attire is Business Casual.

Exhibitor FAQ

The most important thing is to RETURN YOUR SIGNED SPACE CONTRACT with payment. This show will SELL OUT FAST, and we are unable to hold any space without a complete contract. You may also review the exhibit floorplan. Once we receive your contract, we will call you to discuss your space selection. Space is assigned on a first-come first-served basis in the order contracts are received.

Material handling, often referred to as drayage, is the movement of your freight from the carrier to your booth and then back to the carrier at the close of the show. Freight handling includes unloading your materials, storage at our warehouse for up to 30 days in advance of the show, delivery of the materials to your booth, the handling of empty containers to and from storage, and removal of your material from the booth for reloading onto your outbound carrier.

Yes. Material handling charges are computed based on the weight of your materials. The weight is rounded up to the closest hundred pounds (cwt.) and charged according to the rates published in your show service kit. Check your show schedule carefully to determine whether or not overtime charges may apply to your shipment.

For your convenience, the Government Fleet Expo & Conference recommends ELITeXPO. Representatives from this freight company will be on-site to assist you. Although as an exhibitor, you are free to use whatever carrier you like to transport your materials.

In most cases, an exhibitor may bring in what can be hand-carried in one trip without the use of the loading dock or hand trucks. Refer to the union jurisdictions in your service kit for specific information regarding your show.

YES - Badges will be required for all personnel to enter the exhibit area during move-in, move-out and show hours. Badges must be worn at all times while in the exhibit hall. Exhibitor Badges will only be issued to those working in the booth. Those helping to set-up or to teardown the booth will be given temporary worker badges – which will not be valid during show hours.

Allotment breakdown is as follows:
10x10 Booths = 2 complimentary tickets per space.

If you have used your allotment and require additional staff badges, or guest badges, you may purchase those passes at a discounted rate of $395.00 per person

The Government Fleet Expo & Conference will set-up on-line registration for your convenience! You can find the link on the Exhibitor Service Kit page.

With a log-in and password, which will be sent directly to your show manager in a separate email, you can simply register your staff, make any changes, and keep track of your staff badges. If you prefer you may fill out the manual registration form and fax to (817) 277-7616.

All exhibitor badges will be picked up at show site, at the exhibitor registration counter located at the San Diego Convention Center. A business card and photo ID will be required for badge pick-up. For confirmation of your registration you may call (817) 277-7187 or (800) 576-8788.

Payment is refundable if the Government Fleet Expo & Conference is notified in writing postmarked on or before the date indicated on or before March 9, 2018 except for the initial $500 deposit. Cancellation policy applies to all exhibiting firms. Failure to appear at the exposition does not release the exhibitor from the responsibility for payment of the full cost of space rented.

Yes, exhibit personal can transfer badges. But you must transfer the entire pass - it can not be broken up or transferred mid-show if the badge has already been picked up.

For the most part, no. However, we will offer a schedule of short, small-group sessions on specific topics of interest to fleets during exhibit hall hours. Anyone with the appropriate badge who has access to the hall at that time can attend these sessions. Review the schedule for more information.
